Orientation guide for selecting video, course, or community platforms: What security and data protection questions should you ask before choosing a tool?

Whether it’s a video conferencing tool, learning platform, members' area, or payment service—operating online services professionally is hardly possible today without digital tools. At the same time, the level of security and data protection offered by available platforms varies significantly. This article outlines which questions you should ask before committing to a tool.

1. What type of platform do I really need?

Before choosing a specific product, clarify your needs first:

  • Video conferencing tool (e.g., for live courses, coaching, webinars).

  • Learning platform / LMS (for structured courses, modules, tests).

  • Community or membership platform (for groups, exchange, long-term support).

  • Payment service / booking system (for payments, invoices, schedule management).

Often, less is more: A well-chosen core set of tools is more secure and easier to manage than a hodgepodge of free solutions.

2. Basic Questions on Security

Ask providers—or yourself—at least these questions:

  1. Are connections encrypted (e.g., HTTPS, secure video streams)?

  2. Is there role and rights management to control access (participants, trainers, admins)?

  3. Can passwords and 2FA be used for accounts?

  4. Are there protocols or logs to trace who did what if necessary (e.g., login history)?

The clearer the answers to these points, the better the platform can be integrated into your quality and security concept.

3. Data Protection & Server Location

For European providers, data protection and the legal framework are particularly important:

  • Where are the servers located (EU, EEA, third country)?

  • Is there an understandable Privacy Policy and a Data Processing Agreement (DPA) that you can conclude?

  • How long does the platform store data—and can you manage deletion periods yourself (e.g., accounts, content, logs)?

Platforms that fail to provide clear answers here often pose a risk to professional online providers.

4. Support & Reliability

Security also means reliability in daily operations:

  • Is there support (e-mail, chat, phone), and how quickly do they respond based on experience?

  • Are updates and security enhancements regularly deployed and communicated?

  • Is there a status page or information regarding outages and maintenance?

For paid programs in particular, a prolonged outage without support can lead to significant problems.

5. Typical Red Flags

Be especially cautious if:

  • the platform offers no or only very vague data protection information;

  • passwords are meant to be saved in the browser by default and no 2FA is provided;

  • support is practically unreachable or only operates through unofficial channels;

  • the business model is unclear ("free forever" without transparent financing).

Such signals often indicate that security and data privacy are not a focus.

6. Questionnaire for Your Platform Decision

Use these questions as a mini-checklist before making a commitment:

  1. What type of platform do I need (video, LMS, community, payment)?

  2. Are connections and data transmissions encrypted?

  3. Can I cleanly manage roles and access rights?

  4. Does the platform support strong passwords and 2FA?

  5. Where are the servers located, and is there a DPA?

  6. Can I delete data (accounts, content) myself and define deadlines?

  7. What does the support look like specifically (channels, response times)?

  8. How does the provider earn money—is the business model comprehensible?

If you can answer most of these questions satisfactorily, the platform is a significantly better candidate for professional, certifiable online services—and thus optimally prepared for independent certification by EAS™.
